2. Data We Collect

When you connect your QuickBooks Online account to DarkLion, we access the following data through the Intuit OAuth API:

• Transaction data — Amounts, dates, descriptions, and categories for transactions in your QuickBooks account.
• Vendor names and details — Vendor names associated with your transactions, used for categorization and research.
• Account information — Your chart of accounts, account types, and account balances necessary to accurately categorize entries.
• Company profile — Basic company information (name, country) provided by Intuit to configure the Service correctly.

We do not collect passwords, banking credentials, Social Security Numbers, personal identification documents, or any data unrelated to bookkeeping functions.

3. How We Use Your Data

All data accessed is used exclusively to provide the DarkLion Service:

• Transaction categorization — AI analysis to assign appropriate expense/income categories to transactions.
• Account reconciliation — Daily automated reconciliation of your accounts within QuickBooks.
• Vendor research — Enriching vendor records with business category and context to improve categorization accuracy.
• Writing results back — Updating your QuickBooks transactions and records with categorization results.

We do not use your financial data for any other purpose. We do not train AI models on your private financial data, sell your data, or use it for advertising.

4. Data Sharing

We do not sell, rent, trade, or share your financial data with third parties, except:

• Intuit/QuickBooks — Data is exchanged with Intuit’s APIs solely to read and write your QuickBooks records as directed by you.
• Legal requirements — If required by law, court order, or governmental authority, we may disclose information as legally compelled.

We do not share data with advertisers, data brokers, or unaffiliated third parties.

5. Data Retention & Storage

DarkLion processes your QuickBooks data locally during each job run. Raw transaction data is not stored on external servers. Processing occurs in-memory or in temporary local storage and is cleared after each run.

We may retain aggregate, anonymized logs (e.g., “N transactions processed”) for operational monitoring, which contain no personally identifiable or financial details.

OAuth tokens (used to authenticate with QuickBooks) are stored securely and are encrypted at rest. You may revoke access at any time through your Intuit account settings.

6. Security

We implement industry-standard security practices, including:

• OAuth 2.0 for all QuickBooks authentication (no passwords stored)
• Encrypted storage of access and refresh tokens
• Minimal data access (only what is necessary for the Service)
• Regular review of access permissions and data handling practices

No method of transmission or storage is 100% secure. We encourage you to contact us immediately if you suspect unauthorized access.

7. Your Rights & Choices

You have the right to:

• Revoke access — Disconnect DarkLion from your QuickBooks account at any time through Intuit’s authorized app settings.
• Request data deletion — Contact us at support@darklion.ai to request deletion of any stored credentials or operational data.

8. Children’s Privacy

The Service is intended for business use only and is not directed at individuals under the age of 18. We do not knowingly collect data from minors.
